Managing projects from approval through completion

Projects bring customer information, approved commercial work, operational execution, documentation, tasks, materials, costs, and activity history into one working record.

Project records

A LupinusBuild project belongs to a customer and the active company workspace. Projects can also retain a connection to the quote they originated from.

The project record acts as the operational workspace for the work that follows the commercial approval process.

Create a project

A project can be created for an existing customer. The project form identifies the customer and collects the basic information needed to establish the project record.

Project name
Required name used to identify the project.
Project number
Required project reference number.
Status
Tracks the project's current operational state.
Priority
Low, Normal, High, or Urgent.
Address
Project address and location information.
Country
Country associated with the project location.
Notes
Operational notes stored with the project.
Required project identity

Project name and project number are required before a new project can be saved.

Projects created from approved quotes

Authorized users can convert an approved quote into a project. When this occurs, LupinusBuild preserves the relationship to the source quote and customer.

Quote conversion can also carry the contract amount, estimated cost, and estimated profit into the new project so commercial information remains connected to operational execution.

Project details

The project detail workspace brings several operational areas together around the same project record.

Tasks

Track work that needs to be completed for the project.

Files

Store project-related documentation and records.

Materials

Track materials associated with project execution.

Notes

Maintain project-specific operational notes.

Activity

Review recorded project changes and operational history.

Financials

Compare contract value, estimated cost, actual cost, and profitability.

Financial tracking

Project financials distinguish between expected performance and actual project results.

Estimated Profit

Estimated Margin
Actual Margin

Actual project cost can incorporate operational cost records and project materials, allowing project profitability to change as real expenses are recorded.

Estimated versus actual

Estimated values describe expected project performance. Actual values reflect recorded project costs and provide a clearer view of realized project profitability as work progresses.

Project status and activity

Project status can be updated as work progresses. The exact operational stages may depend on the workflow configured for the company using LupinusBuild.

When a status changes, LupinusBuild records the change in project activity history. Project financial and operational updates are also recorded so important changes are not isolated from the project timeline.

Pilot workflow note

LupinusBuild is currently in pilot. Some project stages and operational costing workflows may be configured around the needs of the pilot company and can evolve as the product is generalized for additional contractor workflows.
